Practice Management on Embodia - Part 2: Scheduling

Your clinic manager needs to grant you permission before being able to schedule a class.

When scheduling a class, you can opt to make it a recurring class. In the pop-up form, check the "Recurring class?" checkbox, and specify the recurrence options.

Recurring classes on Embodia

You can select:

  • Regular intervals for classes that re-occur at regular intervals, such as every day, every 2 weeks, etc.
  • Or irregular intervals, and then add the dates manually by clicking on 'Add date'.

 

When scheduling a recurring class, you can also choose the desired registration behaviour. By default, patients will only be able to register for individual occurrences of the class. You can override this by selecting the desired behaviour in the 'Registration behaviour' dropdown.

Recurring classes on Embodia

The following options are available:

  • Patient can only register for individual occurrences of this class: With this option, patients can only register for individual occurrences of this class. Patients can still register for all the occurrences, but they would need to do it individually for each occurrence.

  • Patient can only register for all occurrences of this class: With this option, patients can only register for all occurrences of this class. They will not be able to only register for one occurrence of the class. Registration will be closed after the first occurrence of the class starts.

  • Patient can choose to register for individual occurrences or for all occurrences of this class: With this option, patients can either register for all occurrences of this class or one occurrence of the class. After the first occurrence of the class starts, patients will only be able to register for individual occurrences of this class.

If you are allowing patients to register for all occurrences, you can optionally specify a percentage discount to apply to the purchase of all occurrences by entering a value between 0 and 100 in the 'Discount for all occurrences' field. 

Here's an example of the pricing behaviour of recurring classes. Say you've set up a service called "Yoga class" for $20 per session, and you've created a recurring class for this service with 10 occurrences, with the first occurrence on April 1st at 9:00 AM. You've selected the 'Patient can choose to register for individual occurrences or for all occurrences of this class' registration behaviour and specified a 'Discount for all occurrences' of 10%.

If a patient tries to register for this class before April 1st at 9:00 AM, they will be given 2 options:

  1. They can register for one occurrence of the class for $20; or
  2. They can register for all occurrences of this class for $180 ($20/occurrence x 10 occurrences with a 10% discount)

If a patient tries to register for this class after April 1st at 9:00AM, they will only be given the option to register for one occurrence of the class for $20.
